The Higher Education Expulsions Board processes personal data when hearing cases regarding the expulsion of students from higher education institutions and public universities of applied sciences.

When does the Board process your personal data?

The Higher Education Expulsions Board processes personal data when hearing cases regarding the expulsion of students as the result of a complaint from a higher education institution or a public university of applied sciences. The education provider submits a complaint and relevant documentation to the Board. The Board also processes personal data when a student appeals a Board decision. In these cases, the Board has to save and process the person’s personal data. The same applies when a person sends an email message to the Board.

When hearing cases, the Board may also save and process personal data about other individuals connected with the case, such as representatives for the education provider.

How does the Board process the personal data that you submit?

The personal data that the Higher Education Expulsions Board processes can include name, personal ID number, postal address, email address, phone number and other personal data that you submit when contacting the Board. The purpose with processing this data is to manage and conduct the Board’s business. The legal grounds for processing your personal data is the Board’s need to conduct work of a public interest or it can also be based on the Board’s exercise of its official authority.

The Higher Education Expulsions Board is a government agency. As a public authority, is covered by the principle of public access to official records. This means that all documents, including personal data submitted to the Board become public documents that can be released to enquiring individuals. In some cases, information may be covered by confidentiality, meaning it will not be released as part of public information requests. Personal data will be saved and deleted in accordance with applicable regulations for public documents or when the personal data is no longer needed for its intended purpose.

The Board does not share your personal data with other companies or organisations and does not use this data for other purposes than what was stated at the time of your submission of the personal data. The Board falls under the authority of the Swedish Higher Education Authority (UKÄ). UKÄ processes certain personal data when exercising its obligations as a public agency. UKÄ also has contracts with certain data processors that may process personal data on assignment from the Board. The Board can also share your personal data with a third party if required to do so by law.

What rights do you have?

You have the right to contact the Board if you want information about what personal data the Board processes about you (known as a register extract). Contact the Board, preferably in writing by mail or email at han@han.se indicating your name, personal ID number, mail address, phone number and email address. The register extract will normally be sent at no charge to your official address within one month. If your request is complicated, however, it may take longer. If your request is obviously baseless or of excessive character, the Board may charge a reasonable fee or refuse to meet your request.

You can also contact the Board if you would like to request a correction or erasure of your personal data, request a limitation of processing or have an objection to processing of your personal data and would like to request that your personal data is moved. The Board, however, must point out that it is always required to follow regulations applicable to public agencies on such matters as public documents, public information and confidentiality, registration, archiving and deleting. If you have complaints on the Board’s processing of your personal data, you have the right to submit a complaint to the Swedish Authority for Privacy Protection, which is the relevant supervisory authority.
